Private Recap How it works

Use case

Client meeting notes that never leave your laptop

Client work runs on calls, and every call leaves a debt behind it: the write-up, the action list, the line for the invoice. Here is how to clear that debt without handing the recording to anyone.

The confidentiality problem

Most consulting agreements carry a line about not disclosing client information to anyone outside the engagement. A transcription service is outside the engagement.

Plenty of clients will not mind. Others have a procurement process that will, and discovering that after the fact is much worse than asking first.

When the audio never leaves your laptop the question mostly disappears. Your audio, transcript and notes stay on your computer. The app goes online for three things only: the one-time model download, your account and billing if you choose to have one, and anonymous page counts.

A week of client calls, written up

The pattern that works for most independent consultants:

Notes you can bill against

Time sheets are easier to defend when something sits behind them. The recap carries the date, the length of the call and what was discussed, which is most of a line item already.

Scope creep is easier to catch, too. When a client asks for something new on a call it turns up in the action items, and you can decide right then whether it sits inside the statement of work or needs a change request.

None of this is an invoicing tool. It is the raw material that stops you reconstructing a whole week from memory on a Friday afternoon.

What to tell the client

Say that you record calls and write them up with software that runs on your own machine, and that the recording stays there. That sentence usually ends the conversation.

Ask before you start recording, every single time. It is good manners, and in many places it is the law.

Is the free tier enough for client work?

Not on its own. Free recordings stop at five minutes, which is enough to judge quality but not to cover a real client call. You get one saved meeting without an account and three with a free account.

Files you already have are capped at five minutes on the free tier as well. Pro lifts the recording limit, which is the one that matters once you are using this for work, and accepts uploads up to an hour or 200 MB.

Start with a call that does not matter

Record your next internal call rather than the client one. Look at the notes when the stakes are zero, then decide whether to put it in front of a client.

Try it on your next call

Confidentiality is easiest to honour when there is nowhere else for the recording to be.
